Responsibilities (include, but are not limited to):
Conserve time of scientific staff and departmental leadership by facilitating administrative tasks as follows:
+ Phone and calendar management.
+ Meeting planning & logistics.
+ Planning travel and T&E expense report submissions according to company policy.
+ Assistance with regulatory document preparation and submission.
+ Organizing special events, eg. consultant visits, departmental gatherings, etc.
+ Assistance w/resource management including budgets, operating supplies and capital equipment.
+ College degree preferred, high school degree acceptable w/extended experience.
+ 8 years administrative or comparable experience; prior BMS and Executive Associate Experience preferred.
+ Proficient with Microsoft Suite (Outlook, Word, Excel, Power Point). Knowledge of BMS Systems and Processes strongly preferred.
+ Concur Travel and T&E, Ariba/SAP, Sharepoint, eSetup, eTime, Workday, Room Scheduler experience strongly desired.
+ Experience w/budget management a strong plus.
+ Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time-zones and during periods of heavy workload.
+ Ability to multi-task and adapt quickly to competing priorities while remaining focused.
+ Successful candidate must be able to learn new tools and systems in an ever-evolving environment.
+ Exhibits a positive work attitude, and high productivity.
+ Proven track record of collaboration with other administrative assistants in order to ensure business needs/goals are met.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
